About the Role

What We Are Looking For

Support Information Governance operations and engineering project activities through digital records management, customer support, facilities coordination, acquisition and divestiture processing, and site assessments to ensure compliance, accessibility, and effective information governance practices.

Key Responsibilities

  • Process digital AFEs and upload supplemental documentation into KM FileNet for new engineering projects.
  • Process and manage digital information associated with acquisitions and divestitures.
  • Respond to customer requests, including records research and information retrieval.
  • Partner with Facilities to coordinate Information Governance records and data during office relocations, consolidations, and downsizing efforts.
  • Conduct on and offsite assessments to evaluate records management, information governance compliance, and operational needs.
  • Ensure accurate organization, retention, and accessibility of digital records in accordance with Information Governance requirements.
  • Provide training and guidance to staff on IG policies, procedures, and tools
  • Help implement and support IG technology platforms such as FileTrail, KM Filenet, DOT Loader, Policy Center and other records management tools
  • Manage physical and electronic records in accordance with company policy and legal/regulatory requirements
  • Participate in information classification, security, privacy, and data handling initiatives
  • Assist in the development of procedures for defensible disposition of data and records

About the Job

What You Need

EDUCATION / EXPERIENCE / SPECIFIC KNOWLEDGE

  • Bachelors Degree in Business Administration preferred but a minimum of 5 to 7 years of experience in an industry related records management/information governance system could be in lieu of degree
  • Basic understanding of records and information governance management concepts and principles
  • Specialized coursework in records and information governance management, and additional education, is desirable
  • Knowledge of and experience with, federal (US, Canada, Mexico) and state/provincial privacy records management, and information-security-related laws, regulations, self-regulatory standards, and industry best practices

CERTIFICATIONS, LICENSES, REGISTRATIONS

  • Must possess and maintain a valid driver license and a driving record satisfactory to the company and its insurers (for travel)
  • Certified Records Manager (CRM) or Information Governance Professional (IGP) preferred

COMPETENCIES, SKILLS, AND ABILITIES

  • Ability to apply IG knowledge to practical issues and problems
  • Advanced proficiency levels in Microsoft applications, including but may not be limited to: Word, Excel, Outlook, PowerPoint, developing and analyzing data on spreadsheets, and information retrieval; and the FileTrail and FileNet applications are preferred but not required.
  • Ability to organize, schedule, and prioritize departmental and individual work to meet various schedules and objectives, and prioritize on short notice and as needed
  • Must be self-motivated with the ability to successfully and simultaneously manage multiple tasks, meet various deadlines and work with minimal direct supervision
  • Demonstrate excellent verbal and written communications, with the ability to communicate with a variety of individuals and personalities at all levels, internally and externally
  • Ability to collaborate and work with a team
  • Ability to maintain a measurable high level of performance
  • Problem solving skills, including logical thought processes
  • Must be comfortable working with remote supervision

PHYSICAL DEMANDS

  • Must be physically able to work standing, sitting or walking for long periods

WORKING CONDITIONS

  • Based in KM corporate office in Birmingham, AL
  • Hybrid Schedule alongside a 9/80 work week are available options. Operational needs take precedence over hybrid work schedules. You may be required to report to your regular work location, with little notice, at the direction of your supervisor or the Company.
  • Could be required to travel 25% across broad geographic region (including overnight and occasional weekend travel)
  • The successful candidate will be required to clear a non-DOT drug screen and a complete background check, including credit report, after an offer has been extended and prior to being employed.
