Position Summary
The Event Setup Assistant is responsible for the physical setup, maintenance, and breakdown of event spaces while ensuring equipment is safely handled, transported, stored, and inventoried. This position requires strength, physical endurance, and the ability to perform demanding manual labor in a fast-paced environment with strict deadlines.
This role involves the frequent lifting, carrying, pushing, and pulling of heavy tables, chairs, staging, risers, and other event equipment. The successful candidate must be comfortable performing physically demanding work throughout the day while maintaining a high level of attention to detail and safety.
Because the museum opens to the public at 10:00 AM, post-event breakdown and room reset activities in public areas must be completed before opening to ensure all guest spaces are clean, organized, and ready for visitors.
Event Setup and Breakdown
- Physically set up and arrange tables, chairs, staging, risers, audiovisual equipment, and other event furnishings according to room diagrams and event specifications.
- Safely lift, carry, push, pull, and position heavy event equipment throughout the facility.
- Tear down, transport, and properly store equipment and supplies following events.
- Read and interpret room diagrams to ensure accurate and efficient event setups.
- Complete room resets within established timelines while maintaining safety and quality standards.
Equipment and Inventory Management
- Safely move, handle, and maintain heavy event equipment and furniture to prevent damage or injury.
- Organize and maintain storage areas to ensure accurate inventory and efficient access to equipment.
- Keep service corridors and storage areas clean, organized, and free of obstructions.
- Wash, dry, fold, and hang event linens as needed.
Facility Maintenance
- Maintain the cleanliness and appearance of event spaces, hallways, and common areas.
- Assist in creating a safe, clean, and professional environment for staff and visitors.
Team Support
- Communicate effectively with Venue Rental staff and OHS/OHCM staff.
- Respond promptly to event-related requests and operational needs.
- Perform additional duties as assigned.
Qualifications and Requirements
- Reliable transportation is required.
- Must possess the physical strength and stamina to safely lift, carry, push, and move event equipment weighing up to 75 pounds, with assistance when appropriate.
- Ability to repeatedly perform physically demanding tasks throughout an entire shift.
- Ability to stand, walk, bend, kneel, reach, and climb stairs for extended periods.
- Ability to work safely while moving large or awkward equipment in both public and back-of-house areas.
- Strong organizational skills and attention to detail.
- Ability to work efficiently in a fast-paced environment with tight setup and breakdown timelines.
- Ability to work independently, prioritize tasks, and exercise sound judgment with minimal supervision.
Schedule and Availability
- Part-time position, up to 20 hours per week.
- Typical work hours are between 7:00 AM and 5:00 PM; however, evening, weekend, and holiday shifts are required based on event schedules.
- Post-event breakdown shifts typically begin at 7:00 AM.
- Because the museum opens to the public at 10:00 AM, all event breakdowns, cleanup, and room reset activities in public areas must be completed before opening to ensure the museum is ready to welcome guests.
