Facilities Support Coordinator

Under general supervision and according to established policies and procedures, provides a variety of specialized services in support of the operations of the Ambulatory Facility and Real Estate department. Works with Real Estate Managers and maintenance team to ensure maintenance is completed on leased and contracted properties. Ensures proper billing of services for maintenance and maintains financial records. Generates and maintains reports to support Real Estate team and assists with management of lease receivables and payables

• Coordinates daily functions of maintenance including assigning daily work orders to staff, informing mechanics/housekeeping of any unresolved problems, scheduling appropriate maintenance specialists to accomplish preventive maintenance (PM) in a timely manner on a monthly basis, closing out the PM and unscheduled work orders, providing a summary to Director on monthly basis, modifying work order system as needed: added equipment, preventive maintenance, and tracking and reporting on mechanics performance.
• Receives department phone calls, determining best course of action to take in responding phone call and following proper procedures such as logging calls, researching information requested, contacting vendor, contacting Materiel management, contacting supply techs, contacting supervisor, utilizing computer information, retrieving manual files, assimilating information, determining needs, set course to resolve situation, and informing caller of decision and informing manager of any unresolved situations.
• Reviews, resolves and reports on any work order discrepancies.
• Assists in managing service contract agreements by verifying that contracted services are delivered in accordance with the terms and conditions of the contract.
• Codes all invoices received in system through XM payment system
• Receives, logs and handles rent payments
• Reviews invoices, ledgers and various sytems to assist Real Estate Managers with lease payables.
• Loads, maintains and reports on leases in MRI Prolease.
• Coordinates with Finance on lease administration.
• Attends all applicable courses required by UAHSF personnel and administration.
• Completes all mandatory education requirements of Clinic in advance of due dates and presents completed transcripts to supervisor/manager.
• Keeps abreast of current issues and changes in technology.
• Maintains knowledge of current issues through attendance or documented reading of minutes of staff meetings and Town Hall meetings.
• Serves as a role model and clinical resource person for other team members and orientees.
• Performs other duties as assigned

HS diploma or equivalent required. Two to five years experience leading or coordinating the work of other employees required. Experience with multiple software systems required. Some college work is preferred. Three to five years experience facility or maintenance/ construction environment preferred.
