As an Admissions Coordinator, you will serve as a key operational anchor within the Office of Undergraduate Admissions (Enrollment Division). In this versatile role, you’ll combine complex project coordination, global college fair logistics, and high-priority executive support with warm, exceptional frontline service—creating memorable experiences that help prospective students envision themselves as part of the Fighting Irish community.

Key Responsibilities

  • Recruitment & College Fair Logistics: Serve as the primary lead for college fair registrations, payments, and data reporting. Coordinate recruitment logistics for admissions counselors and alumni volunteer coordinators. Assist the Alumni Engagement Team with volunteer onboarding, email communications, recognition events, and community moderation.
  • Service Excellence & Engagement: Respond to phone and general inquiry email communications with clarity and care. Manage the front desk suite by welcoming campus visitors, prospective students, and families in a warm, professional manner, while providing backup support to visitor coordination.
  • Executive & Admissions Support: Oversee high-priority correspondence for the Assistant VP for Undergraduate Admissions. Compile, distribute, and track file-reading materials for internal staff and seasonal readers. Provide operational administrative support to the transfer admissions team.
  • Office & Operational Administration: Maintain department resource lists, travel calendars, and staff schedules. Coordinate FERPA communications with Shared Services, manage office supplies/equipment, and support overall suite maintenance.
  • Event Support: Provide hands-on administrative and operational support during major campus events, such as the Admitted Student Rally.

Qualifications Minimum Qualifications

  • Experience: 4 to 6 years of administrative, operational, or customer service experience.
  • Operational & Organizational Skills: Exceptional time management, detail orientation, and the ability to prioritize tasks independently to meet deadlines.
  • Communication & Hospitality: Strong written and verbal communication skills with a proven commitment to delivering outstanding customer service to diverse audiences.
  • Technical Proficiency: Proficiency with Google Workspace (especially Google Sheets) or Microsoft Office (Word and Excel). Ability to quickly adapt to specialized software and CRM platforms (e.g., Slate).
  • Confidentiality & Integrity: Ability to exercise sound judgment and maintain strict confidentiality when handling student records and executive correspondence.

Preferred Qualifications

  • Education: Bachelor’s degree (4 years), or demonstrated mastery of skills through 7+ years of directly related work experience in lieu of a degree.
  • Prior administrative experience within higher education, admissions, or visitor relations.
  • Familiarity with admissions CRM software (such as Slate).
  • Demonstrated experience coordinating event logistics, travel schedules, or volunteer programs.
